SALES ADMINISTRATOR:

Sales Administrator role is critical in supporting the sales team’s success in achieving our corporate goals with an emphasis on Customer Focus by keeping the customer at the center of all we do.  The Sales Administrator is responsible for the discovery and management of bid and project proposals across all business units of the company.  This position collaborates closely with cross-functional teams to facilitate the successful execution and submission of bids, proposals, and other tenders to maximize win rates. In addition to working closely with sales reps to establish and maintain customers and customer relationships, the Sales Administrator also supports the sales team by editing, formatting and maintaining the repository for all external written communication generated by sales team members.  The ideal candidate possesses strong organizational skills and will manage multiple tasks and deadlines efficiently. They should have excellent verbal and written communication skills with great attention to details. 


JOB SUMMARY/ESSENTIAL DUTIES:

  • Operate efficiently and effectively in the company CRM platform

  • Collaborate with sales team members in business development efforts across all company units to develop and nurture customer acquisition and retention. 

  • Prospect for, compile and communicate to the appropriate account managers project and supply bids relevant to the PMG product lines. 

  • Coordinate and manage the bid process from beginning to end ensuring timely and accurate completion of all bid submissions.

  • Evaluate and manage bid and contract solicitations including facilitation of required quotes, pricing, insurance, bonds, material sample submittals, compliance, records and other as needed.

  • Review bid specifications and content to ensure compliance.

  • Document and maintain bid progress in a repository visible to the identified sales team.

  • Manage bid services through agency direct portals and/or third party bid and project management systems

  • Stay informed of company, competition and industry products, equipment and trends

  • Travel may be required as related to business needs.

  • Perform other duties as assigned by National Sales Manager.

QUALIFICATIONS:

  • 2-year degree or equivalent experience preferred. Additional certifications in project management or bid management will be a plus. Minimum 3-5 years of Sales Administration / Customer Service experience

  • Preferred experience with HubSpot and NetSuite or equivalent experience in CRM, bid management and analytics systems, MS Office Suite and other IT tools as needed.

  • Proven experience in bid coordination, proposal management, or a similar role, preferably within the pavement preservation or road building industry.

  • Proven ability to work in an independent atmosphere.

  • Proven ability to grow and manage both internal company and external customer relationships at all levels.

  • Excellent problem solving and communication skills.

  • Understanding of bid processes and governmental procurement.

  • Strong project management and organizational skills, with the ability to prioritize and manage multiple tasks and bid proposals simultaneously.
